Dispatching Gantt Tasks to the Field Schedule: Turning Plans into Action
📤 Dispatching Gantt Tasks to the Field Schedule: Turning Plans into Action
📘 Article Purpose
This article explains how to convert Gantt tasks into live shifts on the Field Schedule using the Dispatch feature.
🎯 What Is Gantt Task Dispatch?
Dispatching allows you to take a planned task from the Gantt Schedule and generate a shift in the Field Schedule—bringing your long-term plan into real-world execution.
🔁 This avoids re-entering task details manually and ensures alignment between planning and labor.
➡️ How to Dispatch a Gantt Task
- Open the Gantt Schedule
- Locate the task you want to dispatch
- Double-click the task bar or click the edit pencil
- In the top-right corner of the Task Slider, click Dispatch
- This opens the Field Schedule Shift Slider, pre-filled with:
- Title
- Project
- Assigned users (if selected)
- Expected user groups (if defined)
- Start date & duration
- Review/edit any shift fields as needed
- Click Submit to publish the shift (or Save as Draft)
🛠️ What Fields Get Carried Over?
Gantt Task Field | Copied to Field Shift? |
---|---|
Title | ✅ Yes |
Project | ✅ Yes |
Assigned Users | ✅ Yes |
Expected User Groups | ✅ Yes |
Start Date & Duration | ✅ Yes (converted to shift window) |
Notes / Labels / Color | ❌ Not carried over |
🧠 When to Use Dispatch
- You’ve finished project planning and need to schedule field crews
- You want to maintain a clean separation between planning and execution
- You’re assigning long-term planned work as the scheduled date approaches
🔁 Can I Dispatch the Same Task More Than Once?
The system does not prevent repeat dispatches, but:
- You may unintentionally create duplicate shifts
- Best practice is to track dispatched tasks manually using labels or notes
📊 Use Case Example
Scenario:
You planned a “Framing” task from July 1–3 in the Gantt chart and assigned 3 users.
Action:
On June 30, you dispatch the task →
A shift is created in the Field Schedule for July 1–3 with those users.
