🔔 Notification Settings for Users in Ontraccr

Ontraccr gives you fine-tuned control over how and when users are notified about scheduling, task management, and time tracking. These settings help reduce missed shifts, ensure timely clock-outs, and improve real-time awareness. This article walks through the types of notifications available, how to configure them, and what each one does.

⚙️ Where to Manage Notifications

Notification settings are configured by admins from:

Settings → Notifications

These settings apply across your organization and impact what kinds of emails or push notifications are sent to users.

📬 Types of Notifications You Can Enable

1. Shift Assignment or Update Notifications

  • Sends an email and/or push notification as soon as a user is assigned or removed from a shift.
  • Helps users know when they’re scheduled or if plans change.

2. Scheduled Shift Notifications

  • Triggers reminder notifications for upcoming shifts.
  • Can be configured to work in tandem with shift assignment alerts.

🧠 Use Case: Remind field workers to show up prepared for tomorrow’s shift.

3. Material Quantity Notifications (Email-only)

  • Notifies users when material thresholds are reached.
  • Relevant for users who manage inventory or order materials.

📌 Not directly tied to user profiles, but included in system-wide settings.

4. Task Clock-Out Reminders

  • Sends a reminder if the user is still clocked in on a task after a certain amount of time.
  • Helps reduce forgotten clock-outs and time tracking inaccuracies.

5. Hours Threshold Alerts

  • Allows you to define a maximum working hours threshold (e.g., 10 hours).
  • Once a user surpasses this threshold while still clocked in, they begin receiving email reminders to clock out.

⚠️ Does not automatically clock the user out — it only notifies them repeatedly until action is taken.

🔁 Repeating Reminder Settings

If you enable repeat reminders, you can configure how often Ontraccr should re-notify the user after the initial threshold has been crossed:

  • Every hour
  • Every two hours
  • Every three hours

✉️ Enabling Email & Push Notifications

To ensure notifications are delivered, make sure the following preferences are enabled under user or global settings:

  • Enable Email Notifications
  • Enable Push Notifications (for users using the mobile app)

📌 If users don’t have an email on file or don’t use the mobile app, they won’t receive these alerts.
