Custom Reports for Card Counts, Conversions, Durations, and More

Board Analytics in Ontraccr allow you to generate insights from your Board Cards, including card counts, status flows, conversion metrics, and duration tracking. Whether you’re monitoring sales pipelines, estimating queues, or project delivery stages, Board Analytics give you precise control over how you measure board-based activity.


📍 Where to Create Board Analytics

You can build board-related reports in three places:

  1. Analytics Page
    • Most flexible; works across all boards.
  2. Board Cards → Analytics Tab
    • Create analytics specific to one board and reuse them across all cards in that board.
  3. Projects Page → Analytics Tab
    • Create board reports filtered to that specific project.

⚠️ Reports built in Board Cards and Projects are board/project-specific and are not visible outside their context.


🔧 How to Build a Board Report

1. Select the Source

  • Choose a board (e.g., CRM Board, Estimating Board) from the dropdown.

2. Select a Field

Options vary based on what’s tracked on your board. Standard datasets include:


📊 Standard Report Types for Boards

Each of these report types has distinct configuration options.

1. Number of Cards

Track how many cards exist or were created in a specific date range.

  • Metrics: Sum, Average, Median
  • Breakdown By:
    • User
    • Status
    • Color
  • Filters Available: Each of the above can be filtered.
  • Time-Based Breakdown: Optional
    • By Day, Week, Month, Quarter, Year (works for bar/line/table)
  • Display Types: Bar, Line, Table, Number

📝 Time-based breakdowns are not available when using “Number” as display type.


2. Conversion Rate Between Statuses

See what percentage of cards moved from one stage to another.

  • Breakdown Options:
    • Filter by User
    • Filter by Status
  • Display Types: Number or Table
  • Group Statuses:
    • You can group multiple statuses together (e.g., “Review Stage 1/2/3” → “Review”)

3. Time in Status

Measure how long cards remain in each status.

  • Metrics: Average, Sum, Median
  • Breakdown By:
    • User (e.g., how long each person’s cards spend in a stage)
    • Status (e.g., time spent in Design, Review)
  • Use Case: Identify bottlenecks in process flows.

4. Number of New Cards in Status

Track how many new cards entered a given status during a date range.

  • Key Detail: Counts only new entries, not the total number in that status.
  • Use Case: Track new leads or newly quoted jobs per week.
  • Breakdown By: Status
  • Display Options: Number (most common), Table, Bar, Line

⚙️ Custom Field Analytics on Boards

In addition to the standard reports above, you can build custom reports using text or calculation fields from your board cards.

  • Supported Field Types: Text fields, Calculation fields
  • Metrics: Sum, Average, Median
  • Breakdown Options:
    • User
    • Status
    • Color
    • Date
  • Display Types:
    • Bar, Line, Table, Number, List
  • Use Cases:
    • Quoted Amount (CRM board)
    • Square Footage (Estimating board)
  • Grouping: Fields can be grouped (e.g., statuses grouped into categories)
  • Filters: Filter by status entered, values, etc.

📌 Example Scenarios

  • Track Estimator Speed: Use “Time in Status” + breakdown by User.
  • Lead Source Quality: “New Cards in Status” + Filter by lead origin.
  • Quote Volume: Custom field for “Deal Size” + Sum + breakdown by Status.

🛠 Editing and Saving

  • Click the pencil icon to rename a report.
  • Hit Save to make it available for dashboards or reuse in board card dashboards.
