Material Timeline and Audit Trail

📜 Material Timeline and Audit Trail in Ontraccr

Overview

Every material and assembly in Ontraccr comes with a built-in audit trail called the Timeline. This feature provides a transparent history of edits, quantity updates, and workflow-triggered changes — so your team always knows what happened, when, and why.

This article shows how to access the timeline and what kinds of actions are tracked.

🔍 How to View a Material’s Timeline

  1. From the Materials Page, click on any material or assembly.
  2. This opens the non-edit view of the item.
  3. At the top, switch to the “Timeline” tab.

🧾 What the Timeline Shows

The timeline includes:

  • Creation details (date/time and who created it)
  • Edits to:
    • Name, description, pricing, cost codes, etc.
    • Inventory quantity or thresholds
  • Workflow activity:
    • Updates from forms or processes (e.g., daily logs, purchase orders)

📌 Use Case: See if inventory dropped because a team member submitted a daily log that debited wire.

🔄 Integration with Workflows

If your forms or boards use the “Update Material” step, any automatic changes will also appear in the timeline.

Example:

A daily log form deducts 5 units of wire.

Timeline entry appears:

“Material debited by 5 units via Daily Log (submitted by John Doe on May 10)”

📌 This creates a full audit trail, even for automated system actions.

Benefits

  • Transparency: Know when stock levels changed or fields were edited.
  • Accountability: See which user made each change.
  • Troubleshooting: Quickly track down inventory issues or data entry errors.

🧠 Real Use Cases

  • Confirm whether a part was added manually or via upload
  • Audit labor pricing changes during a rate update
  • Validate inventory deductions tied to a work order
