Update 4.0.0 – Release Notes 🚀
We’re excited to announce version 4.0.0 of the web and mobile apps! This release marks a huge milestone for Ontraccr with the launch of Otto, your new AI assistant, along with major redesigns of both the web and mobile apps. In addition, this release brings powerful new workflow enhancements, reporting upgrades, and dozens of fixes to make the platform faster and easier to use.

New Features & Enhancements — Web App
Web App Redesign (Part 1)
The Ontraccr Web App has been fully refreshed with a modern new design that makes every part of the platform feel cleaner, sharper, and more consistent. From dashboards and schedules to time cards, projects, and reports, you’ll notice a polished new look across the board.
Highlights of the redesign include:
- Modern Colour Scheme: A unified colour palette brings clarity to pages, drop-downs, and interactive elements.
- Refined Components: Core interface elements such as tables, tabs, date pickers, drop-downs, and pagination have been redesigned for a smoother, more consistent experience.
- Cleaner Navigation: Key pages like Dashboards, Schedules, Projects, and Time Cards now feel more streamlined and easier to scan at a glance.
- A Cohesive Experience: Whether you’re working in quick stats, contracts, invoices, or reports, the updated design ensures consistency and professionalism throughout.
This redesign represents a major step forward in usability and visual appeal, creating a more enjoyable and efficient day-to-day experience for every user.
Release of Otto – The Ontraccr AI Assistant
We’re excited to introduce Otto, your new AI-powered assistant in Ontraccr. Otto is trained exclusively on Ontraccr’s official documentation and knowledge base, making it the fastest way to get accurate answers about how to use the platform.
With Otto, you can:
- Ask questions about features and workflows
- Get step-by-step setup guidance
- Troubleshoot common issues
- Learn best practices for using Ontraccr effectively
Otto is available 24/7 inside the platform and is constantly improving through feedback and usage. While Otto won’t perform actions in your account (yet 🤫), it’s the perfect first stop for quick answers without leaving Ontraccr.

% Completion Display for Linked Forms on Board Cards
Boards can now display a live percentage of completed forms directly on each card, giving project and operations managers real-time visibility into progress without opening each card or running reports.
- Admins can enable this option per board and select which form type and status count as “complete.”
- The percentage is displayed on cards in both Card View and List View.
- Updates automatically as forms are completed.
This enhancement provides a simple, at-a-glance way to monitor operational progress and quickly identify bottlenecks.
Future & Multi-Day Time Card Entries for Admins
Payroll admins now have advanced tools for managing time cards more efficiently:
- Future Entries: Add time cards for any future date, beyond the current pay period.
- Multi-Day Entries: Apply the same time block (e.g., 8 hours) across multiple consecutive days with a single action.
- Bulk Management: Supports all time types and multiple users at once.
This enhancement makes it significantly easier to manage large volumes of time cards, handle exceptions, and maintain accurate payroll data without repetitive manual entry.
Start off by enabling the "Multi-Day Future Manual Entry" role-based permission by navigating over to Settings > Roles & Permissions
Now that the permission is active, adding time is faster than ever: choose any future date, or apply the same entry across multiple consecutive days with a single action.
Attachments Tab Enhancements
The Attachments tab has been redesigned to make file management faster and more user-friendly:
- Multi-File Downloads: Select multiple attachments at once and download them in bulk.
- Improved File Viewer: Quickly cycle between photos and documents using keyboard arrows or on-screen navigation.
- Smarter Sorting: Cleaner filter options ensures smooth performance, even with very large file sets.
These enhancements make it easier than ever to browse, preview, and export attachments directly from your projects, boards, and forms.
Web App Improvements & Fixes
- Restrict Daily Timesheets to Current Day Only: Admins can now enforce that timesheet submissions must match the current day, ensuring timely and accurate reporting.
- Saved Board Sort Preferences: Boards now remember your chosen sort order while navigating. Refreshing the page resets back to default sorting.
- Date Stamps in “Create Board Card” Step: Added the ability to automatically include a date or date + time stamp when new board cards are created via form workflows.
- Configurable Date Stamp Behavior: Workflow designers can now choose the source of date stamps (step execution, form submission, or a table field) and whether time is included.
- Decimal Precision for Holdback %: The Contract page now supports two decimal places for Holdback %, ensuring more precise financial tracking.
- Toggle Archived Users in Quick Reports: Quick Reports now include a toggle to show only active users or both active and archived users.
- Pending Table Data on Board Cards: Pending time, equipment, and material entries from unapproved forms are now visible on board cards, without affecting calculations or analytics.
- Saturday/Sunday Overtime in Exports: Timecard exports now include weekend overtime hours in both the summary bar and exported files.
- Form PDF Font Size Options: Minimum font size for Form PDF exports has been reduced from 8 to 4, allowing more compact tables.
- Form PDF in Create Certification Step: Workflow designers can now automatically attach a completed form’s PDF to certification profiles created in workflows.
- Customer Mapping in “Create Project” Step: Projects created via workflows can now be automatically linked to a customer selected on the board card.
- Shift Colours from Categories: Shifts can now inherit the colour of their assigned schedule category, with an option to override manually.
- Expose Dropdown Fields in External Forms: External forms now support exposing company dropdowns (projects, users, equipment, vendors, cost codes, etc.), with warnings when internal data is shared.
- Static Attachment Fields in Email Workflow Step: The Email workflow step now supports attaching files from static attachment fields in addition to regular attachments.
- Gantt Schedule Project Enhancements: Projects linked to Gantt tasks now auto-map to the Field Schedule when dispatched. A new Project column has been added to the Master Schedule (with filtering and export support).
- Job Costing – Current Contract Value: A new “Current Contract Value” field has been added to the Budget page, pulling totals from the Contract page (including change orders). Expected Profit now calculates against this value.
- Search by Equipment ID: Equipment tables and drop-downs now support searching by Equipment ID in addition to name.
- Direct Time Entry Mapping: Time entries can now be created via workflows that map directly to non-table fields (date, hours, user, project, cost code), streamlining static or default time entry workflows.

- Consistent New Look: Action Center, Timecards, Forms, Live Feed, and profile tabs all follow the refreshed colour scheme.
- Cleaner Screens: Redundant elements (like extra icons) have been removed for a sharper, less cluttered interface.
- Tablet Mode Updates: Tablet mode now matches the new design for a seamless experience across devices.
- Unified Experience: The updated mobile design aligns with the redesigned web app, giving Ontraccr a cohesive, modern look on every platform.

Mobile App Improvements & Fixes
- Rejection Notes on Forms: Full rejection notes are now viewable in both Assigned and Submitted sections, ensuring users can see complete details when reviewing feedback.
- Equipment Dropdown Overlap Fixed: Equipment drop-downs now properly display long project/location names without overlapping rows.
- Equipment IDs in Selectors: Equipment IDs now display alongside equipment names in dropdowns and tables (if configured).
- Search by Equipment ID: Mobile equipment selectors now support searching by Equipment ID as well as name.
