📘 Assigned Forms Tab Overview
 

The Assigned tab in Ontraccr shows forms that are directly assigned to you—either by a manual assignment, via a workflow block, or as a form you started and saved as a draft. This view is personal to the logged-in user and does not include assigned forms for other users.


🔐 What Appears in the Assigned Tab

  1. Forms directly assigned to you (via workflow or manual assignment)
  2. Forms you're editing (triggered by an edit workflow block)
  3. Draft forms that you started but haven’t submitted yet

🧭 How to Access the Assigned Tab

  • Go to: DocumentsFormsAssigned
  • A badge count will appear if you have any forms pending action

📂 Columns in the Assigned Tab

All ProjectsThe tagged project (if applicable)
Client/CustomerThe tagged customer/client (if applicable)
CardThe board card the form was issued from
StateIndicates if the form is:
 - Assigned: Tasked via workflow
 - Draft: Started manually and autosaved
 - Editing: You’re assigned to modify it via Edit block

✍️ What You Can Do in This Tab

1. Complete a Form Assigned to You

  • Click the form row
  • Fill in the fields
  • Click Submit
  • The form is removed from your queue once submitted

2. Resume a Draft

  • Click any form marked as Draft
  • Continue where you left off
  • Submit when done

3. Edit a Form

  • If the form’s state is Editing, click it
  • Make changes as instructed
  • Submit your edits to clear it from your queue

🧹 How to Clear Drafts You No Longer Want

  1. Click the draft form
  2. Click Clear Draft in the bottom-left (next to Preview)
  3. Confirm that you want to delete the draft and autosave contents
  4. Click Cancel → when prompted to save a draft, choose No

🚫 How to Clear Assigned Forms You Don’t Need to Complete

You cannot manually clear assigned forms. You must cancel the workflow that assigned it to you:

Option 1: If You Have Cancel Permissions

  1. Go to Forms → Log
  2. Locate the form assigned to you
  3. Click the ⋮ three-dot menu
  4. Select Cancel → Confirm

Option 2: If You Don’t Have Permission

  • Contact someone (e.g., admin) who has access to Staff → Manage Users
  • They can:
    1. Open your user profile
    2. Go to the Assigned Forms tab
    3. Select one or more forms
    4. Click Cancel Selected

📝 Notes

  • This tab is private to each user—nobody else sees your Assigned tab
  • Drafts remain until cleared or submitted
  • All assigned/editing workflows are cleared only when the form is submitted or the workflow is canceled
