How to Edit, Archive, and Delete Customers

📝 Editing, Archiving, and Deleting Customers in Ontraccr
 

Once a customer has been added to your Ontraccr account, you can easily update their details, archive them for later use, or permanently delete them. This article explains how each of these actions works within the Contacts > Customers tab.


✏️ How to Edit a Customer

Step-by-Step

  1. Navigate to Contacts > Customers
  2. Use the Search Bar to find the customer
  3. Click the Edit (✏️) icon next to the customer's name
  4. The Edit Customer slider will open (same format as Add Customer)
  5. Make the necessary changes
  6. Click NextSubmit

🧠 Tip: All editable fields from the original creation process can be updated here, including:

  • Contact info
  • Billing preferences
  • Labels
  • Addresses
  • Custom fields (if configured)

📦 How to Archive a Customer

Archiving removes the customer from your active view but keeps their data accessible.

Step-by-Step

  1. From the Edit Customer slider, click the Archive option
  2. Confirm the action

How to View Archived Customers

  1. Click the Filter button at the top of the Customers tab
  2. Uncheck Active, and select Archived
  3. You’ll now see all archived customers

📌 Archiving is useful when you no longer work with a customer but want to retain their historical data.


🗑️ How to Permanently Delete a Customer

You must archive a customer before you can delete them.

Step-by-Step

  1. Follow the steps above to archive the customer
  2. In the Archived view, click Edit on the archived customer
  3. Scroll to the bottom and click Delete
  4. Confirm the deletion

⚠️ Warning: This action is permanent and cannot be undone.


🔐 Permissions & Safety

  • Archiving is a reversible soft-delete. Deletion is permanent.
  • Only users with appropriate permissions will see the Delete option.
  • Archived customers are still accessible in filters, exports, and historical logs.
