🧱 Workflow: Create a Card When Material Is Created in Ontraccr

Overview

This workflow automatically creates a board card every time a new material is added to Ontraccr. It’s commonly used in inventory tracking, procurement, or material management boards to track item movement, ordering needs, or material readiness across projects.

🎯 When to Use This Workflow

Use this when:

  • You want to track each new material in a dedicated board
  • You’re managing purchasing, deliveries, or usage logs
  • You need visibility into new materials being added to your system
  • You want to create workflows for material approval, stock checks, or linking to jobs

🧩 How to Set It Up

  1. Open the board used to manage materials (e.g., “Material Tracker” or “Procurement Board”).
  2. Go to Settings > Workflows.
  3. Click the ➕ Add button.
  4. Complete the workflow fields:

🔧 Setup Fields

FieldDescription
NameName your workflow (e.g., “Auto-create material tracker card”)
TypeSelect: Create a card when material is created
Initial StatusChoose the default column for new materials (e.g., “Pending Order”)
Initial Color(Optional) Add a color tag for new entries
MappingChoose what material fields to transfer to the board card

🔁 Field Mapping Options

Map any material data to the board card:

  • Material Name → Card Title (🟢 Required)
  • SKU / Item Code
  • Supplier
  • Unit Cost
  • Material Type or Category
  • Stock Level / Quantity
  • Division or Linked Project

✅ Example Use Case

  • A warehouse manager adds “Concrete Type B” as a new material
  • This triggers a card in the Procurement Board under “Pending Order”
  • The card includes:
    • Material Name
    • Supplier
    • Cost
    • Category = “Site Material”
    • Linked to site project

Now the team can begin the purchasing workflow or tie the material to a delivery schedule.

🧠 Tips & Edge Cases

  • Useful for procurement teams, warehouse ops, or site material tracking
  • This can be combined with card-based status workflows (e.g., “Ready to Order → Ordered → Received”)
  • Pair with form-driven inspections or task automations for full material lifecycle management
  • If materials are added via integrations (e.g., inventory software), this ensures automatic tracking kicks in
