Overview
Ontraccr allows you to manually add individual materials to your database with rich detail — including cost, pricing, inventory, suppliers, and job costing fields. This is ideal when adding a few items one at a time or when building your database from scratch.
This article walks you through the full process of creating a new material manually, including all required and optional fields.
🛠️ How to Add a Material
- Navigate to the Materials Page.
- Click the “Add +” button.
- Select “Add Material”.
- A form will slide in from the right.
🧾 Required Fields
You must complete these fields to save a new material:
- Name – e.g., “Tech Cable 10ft”
- Description – Brief explanation or specs.
- Part Number – Use your internal code or “N/A” if not applicable.
- Division – Only required if your account has multiple divisions configured.
📌 Tip: You can use pseudo part numbers if your parts don’t have one.
📋 Optional Fields (Highly Recommended)
🔹 Supplier
Specify the vendor or manufacturer (e.g., “Home Depot”).
🔹 Cost & Markup
- Cost: What you pay (e.g., $5)
- Markup %: Adds margin automatically.
- Price: Calculated as
Cost + Markup
📌 Use Case: Add 30% markup to all wood items to automatically generate customer pricing.
🧱 Labor Pricing (Optional)
- Labor Cost: How much it costs to install/use one unit.
- Labor Markup: Apply a profit margin.
- Labor Price: Auto-calculated based on markup.
📌 Example: $2 labor cost + 50% markup → $3 labor price
📏 Units of Measure
- Choose from default units like:
- Each, Square Feet, Pounds, Gallons, Tons, etc.
- Or type in your own custom unit (e.g., “per van”).
🧾 Job Costing with Cost Codes (Optional)
Linking materials to cost codes improves job costing accuracy:
- If tied to a cost code, the material will be categorized correctly in project costing.
- If no cost code, the material will be logged as uncategorized.
📌 Use Case: All wires tagged under “Electrical Materials” cost code
📦 Inventory Tracking (Optional)
Skip this section if you’re not tracking inventory.
🔸 Quantity Threshold
- Set a reorder threshold (e.g., 10).
- When inventory drops below this, admins will receive an automated email alert.
🔸 Quantity by Location
- Add storage locations (e.g., Warehouse A, Truck 1).
- Specify how much stock is available at each location.
🔸 Quantity Allocated vs. Available
- Allocated = reserved for jobs
- Available = total - allocated
🧾 Final Step: Submit
Once you’ve completed all desired fields:
- Click Submit.
- The material is now saved in your database.
You can view and edit it at any time by clicking the item from the list.
