🕒 File Versioning in Ontraccr
 

Ontraccr automatically tracks file changes by saving new versions — whether you annotate a document or upload an updated file. This helps teams stay aligned and ensures that previous versions are always accessible.


🔁 What Triggers a New Version?

New versions are created in two ways:

1. Annotating a File

  • When you open a file and make annotations (in either the Basic or Advanced Viewer), clicking Save creates a new version
  • The annotated version is stored on top of the original, but you can still access earlier versions

2. Uploading a File with the Same Name

  • If you upload a new file with the exact same name as an existing one, Ontraccr will detect the match
  • The system automatically treats it as a new version of the existing file, not a separate document

🗂 Viewing File Versions

To see all versions of a file:

  1. Click the More icon (three vertical dots) next to the file
  2. Select Versions
  3. You’ll see a list of all saved versions, including:
    • Timestamps
    • Who created or uploaded the version

You can click any previous version to:

  • View it
  • Download it

💡 Tip: Only the most recent version is shown by default — especially on the mobile app.


📱 Mobile vs Web Behaviour

  • Mobile App: Always displays the most recent version of a file
  • Web App: Allows you to choose and view older versions if needed

🏗 Use Case: Construction Drawings

Versioning is especially helpful for workflows like construction drawings:

  • Teams often revise drawings during a project’s lifecycle
  • Instead of deleting or overwriting, you can upload updated plans using the same file name
  • The system keeps all previous versions so nothing gets lost

📌 Example: If you upload “LightingPlan.pdf” multiple times, each update becomes a new version. The original file is preserved, and users can always go back and compare.
