How to Mass Import Equipment in Ontraccr

📘 Overview
If your company has an existing equipment inventory stored externally (e.g. in a spreadsheet), Ontraccr allows for mass importing of equipment records into the platform. This is especially useful for onboarding or setting up a new account with a large number of assets.
🚫 There is no in-app bulk upload tool. All mass imports are handled by the Customer Success Team.
🧑💼 How to Request a Mass Import
To initiate a mass import:
Contact the Ontraccr Customer Success Team.
Ask for the equipment import spreadsheet template.
Fill in the template with your equipment data.
Common fields you may be asked to populate include:
- Equipment Name
 - ID (optional)
 - Division
 - Type
 - Status
 - Labels
 - Assigned User
 - Cost Codes
 - Hourly/Daily Costs and Billing Rates
 - QR Code Value
 - Etc.
 
Once complete, return the spreadsheet to the Customer Success Team.
They will perform the upload on your behalf.
🧠 Tips
- Double-check formatting: Make sure fields like dates, divisions, and type names match your Ontraccr configuration.
 - Include all mandatory fields: At minimum, each row must include 
Name,Division, andStatusvalues. - Custom types or statuses: If you're using non-default values, ensure they are already created in Ontraccr (or request help setting them up before the import).
 
🔄 Editing After Import
Once the upload is complete:
- All imported equipment will appear in the Equipment Page.
 - You can edit any record manually by clicking Edit on the item.
