🧭 Introduction

The Time Cards section in the Ontraccr mobile app lets users review their time, make corrections (if permitted), and — for supervisors — approve team time cards right from the field. This article covers everything from personal time management to supervisor tools.


📍 Where to Access Time Cards

You can reach the Time Cards section from:

  • The Action Center (Time Cards widget)
  • The bottom navigation bar (fourth icon from the left)

👤 Worker View: Review & Manage Your Own Time

When a regular user opens the Time Cards page, they see:

  • A list of days with time entries
  • Each entry grouped by project and cost code
  • Options to view or edit (based on permission)

🔄 Navigate Between Days

  • Tap the calendar icon to jump to a specific day
  • Or use the up/down arrows to scroll day-by-day

✏️ Edit Your Time (If Permitted)

If your role allows time editing:

  1. Tap any entry to open it
  2. Tap the pencil icon (top-right)
  3. Change the job, cost code, time, or notes
  4. Tap Save

📝 You can also add new time, copy an existing entry, or delete an entry using the icons beside each record.


🧑‍🤝‍🧑 Supervisor View: Manage & Approve Team Time

If you are assigned as a Team Supervisor, a new tab appears in Time Cards:

📌 “Team Cards” will be shown at the top — only for users who are added as a supervisor to a team.


🔄 How to Set Up a Team (Web App Only)

To activate this feature:

  • Go to Web App → Staff → Manage Teams
  • Create a team and assign a Supervisor
  • Add team members

The supervisor will now see time card submissions from team members on the mobile app.


✅ Approving Team Time

Under Team Cards, supervisors will see a list of users with pending submissions.

To approve:

  1. Tap a user (e.g. “J.T. Miller”)
  2. Review their time entries
  3. Make edits if needed
  4. Tap “Approve All”

Once approved:

  • The red badge counter on the Time Cards icon will update
  • The approved entries are locked and ready for payroll review

✏️ Edit or Add Time for Team Members

Supervisors can:

  • Tap into any team member’s day
  • Use the pencil icon to:
    • Edit existing time
    • Add new time entries
    • Copy or delete entries
  • Tap DoneSave

📌 Use this when someone forgets to clock in, or when submitting time on behalf of team members without devices.


🔍 Search and Filter

  • Use the search bar to find team members by name
  • Helps manage large crews quickly

❓ In-App Help UI

There’s a help icon (circle with a question mark) in the top-right of the Time Cards page.

Tap it to:

  • See graphic tutorials on navigating the app
  • Learn how to review and approve time

💡 These guides are embedded across the app, including the Clock page and more.


🔔 Badge Notifications

  • A red badge icon shows how many time cards are pending approval
  • Located on:
    • The Time Cards widget in the Action Center
    • The Time Cards icon in the nav bar

These numbers update in real time based on your pending approvals.


Outcome

Using the Time Cards section, users can:

  • View and edit their own time entries (if allowed)
  • Supervisors can review and approve time for their teams
  • Add or fix time entries in real time on the go
  • Stay informed with badge counters and in-app help
