Color Assignment for Scheduling in User Profiles

🎨 Color Assignment for Scheduling in User Profiles

Ontraccr allows you to assign a color to each user profile. This visual indicator is especially useful for field scheduling, making it easier to distinguish between workers on the schedule board at a glance. This article explains where and how to assign a color to a user and how it’s used across the platform.

🎯 Purpose of Color Assignment

When a user is scheduled for a shift on the Field Schedule, their assigned color is inherited by the shift. This improves visual clarity by allowing you to easily identify which shift belongs to which user without relying on names alone.

🧠 Use Case: Color-code employees by role, division, or shift type to simplify dispatching and shift visualization.

🎨 How to Assign a Color to a User

  1. Navigate to Staff > Manage Users.
  2. Click Add (for a new user) or Edit (to modify an existing profile).
  3. Scroll to the Color field.
  4. Choose a color from the picker or enter a custom hex code.
  5. Click Submit to save the user profile.

📅 Where the Color Is Used

🗓️ Field Schedule

  • When a shift is created for a user, the shift block on the calendar or timeline will inherit the user’s assigned color.
  • This allows for quick visual identification of each user’s shifts across multiple teams or job sites.

🔄 Tips for Color Usage

TipBenefit
Assign unique colors per userEasy to scan individual schedules
Use same color for same rolesQuickly see role distribution on-site
Use bold colors for supervisorsDistinguish authority visually

⚠️ Note: There is no enforcement of color uniqueness. It’s up to the admin to apply colors consistently and avoid duplicates if needed.

Limitations

  • Colors do not impact permissions or roles — they are purely visual aids.
  • Shift colors are based solely on the user’s color setting, not on team, division, or role settings.

📌 Summary

User color assignments make field scheduling faster, clearer, and more organized. Whether you're managing a 5-person crew or a 50-person company, this small visual enhancement can streamline how shifts are created and reviewed.
