📘 Filtering & Exporting the Master Form Log Overview
The Master Form Log in Ontraccr allows powerful filtering options to help you quickly locate specific forms across your company. You can filter by date, user, project, customer, form type, board, status, and more. Once filtered, you can also export the resulting dataset into Excel format for external use.
🎯 Use Cases for Filtering
- View forms submitted in a specific pay period
- Isolate forms from a specific user, customer, or project
- Find all forms with a specific status
- Retrieve all forms initiated via a specific board card
- Export filtered results to Excel for reporting
🗃️ How to Apply Filters
Step 1: Open the Master Form Log
Navigate to:
Documents
→ Forms
→ Log
Step 2: Click the Filter Icon
In the top-right of the log, click the filter icon to open advanced filtering options.
🎛️ Filter Options Available
All filter fields are optional—you can apply just one or many in combination.
Filter Field | Description |
---|---|
Date Range | Filter by pay period, this week, last 30 days, or choose a custom date range |
Users | Filter forms submitted by one or more users |
Form Templates | Select specific form templates to include |
Form Number | Search by a specific form number |
Customer/Client | Filter by customer tagged in the form |
Projects | Filter by projects associated with the form |
Boards | Filter by the board the form was submitted from |
Status | Filter by any current or historical form status (includes custom statuses as well) |
✅ Apply or Save Your Filter
Once you’ve selected your filters:
- Click
Apply
to filter the log immediately - Click
Create and Apply
to save your filter as a reusable view
If you save it, a “Add Filter View” popup appears where you must name the filter.
📌 Saved views will appear next time you open the Filter panel.
📁 Exporting Filtered Results
Once your filters are applied:
- Click the Export button
- A
.xlsx
file will be downloaded - The file contains the columns currently displayed in the log (e.g., form number, user, status, etc.)
💡 Tip: Apply filters first to avoid exporting unrelated form data.
🧠 Best Practices
- Saved views are perfect for recurring reports or audits
- Use form number filter if you're hunting a specific record
- Make sure the date filter includes the timeframe of interest—many forms won’t appear unless the date matches
- Use status filters to track pending, rejected, or canceled forms
