🧭 Introduction
In addition to live clock-ins, Ontraccr’s mobile app supports manual time entries — allowing workers to log hours retroactively or when real-time clocking isn't feasible.
This guide walks through how to create a manual time entry, including how to add custom time card fields, breaks, and notes — all from your mobile device.
🔐 Prerequisites
Manual time entry must be enabled:
Globally or per role in the web app:
Web App Path:
Settings → Time Tracking → Clock Settings → Enable Manual Entry
Once enabled, the option becomes available in the Clock section of the mobile app.
🕒 How to Create a Manual Time Entry
- Go to the Clock screen (bottom nav bar or Action Center)
- Tap “Manual Entry” (visible if enabled for your role)
- Fill in the following details:
Required Fields:
- Division (if applicable)
- Project: Selected from the dropdown (Unless Require Project Selection has not been enabled in the web app)
- Cost Code: Specific to the project or global list (Unless Require Cost Code Selection has not been enabled in the web app)
Time Input:
- Select hours and minutes:
- The interval (e.g., 15, 30, or every minute) is configured in the web app
- Optionally, add a manual break duration
📝 Use this to accurately reflect lunch or unpaid break time.
🧾 Add Notes
Use the Notes field to:
- Explain unusual shifts or corrections
- Clarify jobsite activities
- Leave comments for approvers
These notes are attached to the time card and visible in approval workflows.
📋 Custom Time Card Fields
If configured in the web app, you may see additional fields beneath the notes area. These are custom fields created using Ontraccr’s Form Fields module, allowing companies to:
- Ask daily safety questions
- Record equipment used
- Confirm job site conditions
- Capture additional details with every time entry
Notes:
- Custom fields can be optional or required
- They appear inline within the time entry
- Responses are saved alongside the time record
- To set these up, go to Settings > Time Tracking > Custom Fields in the web app
🖋️ Signature & Submission
After filling out your manual entry:
- Tap Save
- You’ll be prompted to sign off if signature is required (based on your company’s time tracking settings)
- Tap Submit
The entry will be added to your time card and show up in the Time Cards section for review/approval.
