Locking Boards with a PIN in Ontraccr

🔒 Locking Boards with a PIN in Ontraccr

Overview

Ontraccr lets you lock boards to prevent card movement — either with or without a PIN. This feature helps prevent accidental changes or restrict access to key workflows until specific users unlock them.

🎯 Why Use Locking?

Locking a board allows you to:

  • Prevent accidental drag-and-drop of cards between statuses
  • Restrict who can move cards to specific stages
  • Lock high-sensitivity workflows (e.g., invoicing, estimating, HR)
  • Freeze a board temporarily during reviews or reporting

🧩 How Locking Works

There are two ways to lock a board:

  1. Without a PIN — anyone can lock/unlock it freely
  2. With a PIN — only users with the PIN can unlock it

🔐 How to Lock or Unlock a Board

🔹 Lock a Board Without a PIN

  1. Click the Lock icon at the top of the board.
  2. The board is now locked — cards can’t be moved, but content can still be edited.
  3. Click Unlock to restore movement.

🔹 Lock a Board With a PIN

  1. Go to Board Settings > Details
  2. Scroll to the “Lock PIN” option.
  3. Enter a 4-digit or longer PIN (e.g., 1234) and click Submit
  4. Lock the board by clicking the Lock icon
  5. To unlock, users must now enter the PIN

🔍 What Happens When a Board is Locked?

  • Cards cannot be moved between statuses via drag-and-drop
  • Users can still edit card content if they have the right permissions
  • The lock icon appears as active in the UI

Example Use Cases

🧠 Tips & Edge Cases

  • Locking doesn’t hide or block card editing — it only blocks movement
  • You can toggle between PIN and no-PIN locking at any time
  • Use this with permissions for stronger security (e.g., view-only users + locked board)
  • Make sure to share the PIN securely with the right people if it’s enabled
