We’re excited to announce Update 5.0.1 of the Ontraccr web and mobile apps!
This release delivers major improvements across project cost tracking, custom exports, form configuration and versioning, scheduling, workflow automation, QuickBooks Online syncing, database management, and board-card conflict detection.
Teams can now configure project-specific labour and equipment costs, preserve existing project structures during budget imports, search and subtotal custom exports, restore previous Form Template versions, schedule workflow emails from form dates, bulk-manage database records, and more. Mobile users also gain new Equipment sorting, smarter scheduling defaults, enhanced form filtering, and configurable board-card conflict searches.

⚙️ Web App Improvements & Fixes
- Field Schedule Shift Conflict Indicators: When creating or editing a shift in Field Schedule, users who are already assigned to an overlapping shift are now clearly identified in the user selector. Conflicted users are highlighted, and the conflict indicator can be expanded to review the overlapping shift’s title, date and time, draft status, category, and project. Conflict detection supports regular, all-day, and multi-day shifts, including conflicts with draft shifts.
- Reset Project Numbering Sequence: Users with Manage Projects permission can now configure the next numeric project number from a new Project Number section in Customization settings. The configured sequence applies only to new projects, skips numbers already in use, works with Suggest Numbers, and is respected by supported project creation workflows, QuickBooks syncing/imports, and Sage syncing. Clearing the configured number returns project numbering to its existing behaviour.
- Phase Selection for Forms: Form builders can now use Phase as a data type within Choose One or More fields. Phase fields are single-select, display only phases belonging to the selected project, and automatically filter available Cost Codes based on the selected phase. If no project is selected, no phases are displayed.
- Per-Column Search for Custom Exports: Custom Exports now support searching and filtering directly within individual columns. Users can search multiple columns simultaneously using AND logic, combine column searches with existing export filters and Hide Previous Exports, and export only the filtered rows currently displayed.
- Project-Specific Cost Codes in Material and Equipment Tables: Material and Equipment Form Tables can now link their Cost Code column to a Project dropdown in the form. When configured, available Cost Codes are restricted to the selected project while continuing to respect the applicable Material, Quantity Tracking, Equipment, or Labour categories. Update Cost workflows correctly resolve global and project-specific Cost Codes when applying Material and Equipment costs.
- Default Filters for Customer, User, and Vendor Fields: Form builders can now configure Default Filters for Customer, User, and Vendor Choose One or More fields. Selected label filters are automatically applied when the form is opened, allowing users to immediately choose from a more relevant list without manually applying the same filters each time.
- Event Reminders in Field Scheduling: Events created in Field Schedule now support Reminders. Internal/self reminders and external reminders can be configured when creating a new Event or editing an existing one.
- Video Uploads and Static Attachments for External Forms: External Forms now support Attachment and Static Attachment fields. Videos can be uploaded through supported Attachment fields when video functionality is enabled, while Static Attachments such as PDFs and images can be added to the form template and downloaded directly by external form users.
- Project-Specific Labour and Equipment Cost Rates: Project Billing Rate Templates and the Project Rates tab now support cost rates in addition to billing rates. Labour can be configured with Regular, OT, and DT costs, while Equipment supports Hourly, Daily, Weekly, and Monthly billing and cost rates. Applicable project-specific costs take priority within the supported cost hierarchy and flow through Form Tables, Update Cost workflows, Progress/Cost Tracking, and Cost Code Billing reports. When Manual OT is disabled, Labour Hourly Cost continues to use the existing wage hierarchy.
- Bulk Actions for Database Pages: Projects, Cost Codes, Customers, Vendors, Equipment, and Buckets now support multi-select and Select All functionality for users with the applicable management permissions. Supported records can be archived, activated, or deleted in bulk, while Buckets support bulk deletion. Confirmation prompts protect bulk actions, and actions involving multiple records require account-password verification. Cost Code deletion also warns users that affected time entries will be uncoded.
- Improved Cost Updates for Equipment and Materials Embedded in Time Entry Tables: Update Cost workflows can now process Equipment and Material data embedded within Time Entry tables without unnecessarily duplicating Labour costs already handled by the Time Entry workflow. Embedded rows can inherit the Time Entry Cost Code or use their own Cost Code, with updates routed to the appropriate Labour, Equipment, or Material category across Progress, Cost Tracking, and Budget views.
- Subtotals for Custom Exports: Custom Export templates can now enable subtotals on individual applicable columns. A subtotal footer appears when enabled, supports currencies, decimals, and numeric values, recalculates when column filters are applied, and is included in the generated export file.
- Expanded Email Variable Support for Form Fields and Dynamic Attributes: Email workflow subjects and bodies can now use Choose One or More fields, Static Text fields, and supported Dynamic Attributes as variables. Dynamic Attribute support includes Date Time, Static Text, Text, Attribute, and Choose One or More values, including both single- and multi-select responses.
- Form Template Version History and Restore: Form Templates now maintain versioned snapshots of Fields and Workflows. Each save containing changes creates a version with the user, timestamp, and grouped change details. Older versions can be opened in a read-only preview and restored by users with appropriate permissions, while the timeline records who performed a restore, which version was restored, and when.
- Schedule Workflow Emails Using Form Date Fields: Scheduled Email workflow steps can now use a Date/Time field from the submitted form as the send-date anchor instead of relying only on an offset from when the workflow step triggers. Repeat schedules can also use the linked form date as their starting point. Empty or past linked dates do not schedule an email.
- Grid View Support in Custom Exports: Custom Exports can now include Time Tracking Grid data such as Equipment Hours, Regular Hours, OT Hours, DT Hours, Total Hours, User, Equipment, Project, and Cost Code. Each populated Grid cell is represented as its own export row, while zero-hour entries are excluded. The new Grid columns also support column filtering.
- Preserve Existing Project Cost Codes and Phases During Budget Imports: Excel budget imports now allow users to choose between Preserve and Replace behaviour before completing the import. Preserve mode keeps existing project Cost Codes, Phases, and phased Cost Codes while adding new items and updating matching imported items. Replace mode retains the existing behaviour of replacing the project’s current budget setup.
- Configurable Board Card Conflict Searches: Create Board Card workflow steps can now allow form responders to refine the conflict-detection search. When enabled, users can open the conflict view, adjust the configured matching conditions, add or remove search parameters, and review matching Board Cards directly. Existing conflict-detection behaviour remains unchanged when the setting is disabled and for Approval Forms.
- Filter User Fields Using User Labels: User-based Choose One or More fields can now be preconfigured using User Labels. Administrators can select one or more User Labels so only matching users appear when the form is completed. Multiple labels use OR logic, and configured Role restrictions continue to apply alongside the selected labels. The same filtering is supported in applicable custom User columns within Time Entry tables.
- Automatic Template Updates from Master Global Cost Codes: Changes made to Master Global Cost Codes now automatically update Job Costing templates that reference those global codes. Supported changes include name, code, description, categories, and hourly or daily costs, including phased versions of the Cost Code. Existing projects remain unchanged, while future projects created from the updated templates receive the latest configuration.
- Account-Level Control for Offline Time Clock Actions: Administrators can now disable offline time clock functionality at the company level. When disabled, Clock In, Take Break, End Break, Switch, and Clock Out require an internet connection. Offline functionality remains enabled by default so existing customers that rely on offline time tracking are not affected.
- Gantt Schedule Date Range Headers: Gantt Schedule Appearance settings now allow week headers to display Week, Date Range, or Both. When there is not enough space for the selected format, the schedule automatically falls back from Both to Date Range and then to Week.
- Persistent Sorting for Project Cards: The Cards tab within Project profiles now supports sorting by Default, Title A–Z, Title Z–A, Time in Status Ascending, or Time in Status Descending. Each user’s selected preference is saved across refreshes, sessions, and Project profiles while remaining separate from Board sorting preferences.
- QBO Customer and Vendor Address Sync: QuickBooks Online syncing now includes physical address information for Customers and Vendors. Customer Shipping and Billing addresses map to the applicable Ontraccr Office and Billing addresses, while Vendor Billing addresses populate the supported Vendor address fields. Address syncing is supported through applicable QBO creation, update, webhook, and import flows, including supported project/subcustomer address syncing.
- Skip Weekends for Next-Day Shift Defaults: The existing Next Day default shift setting now includes a Skip Weekends option. When enabled, shifts created on Friday, Saturday, or Sunday default to Monday instead of the next calendar day. The setting is supported in Field Schedule and Shift Tables.
- Workflow Completion Reliability: Resolved an issue where some Vacation Request forms could remain indefinitely in Workflow in Progress instead of transitioning to Completed.
⚙️ Mobile App Improvements & Fixes
- Equipment Sorting: The Equipment page now supports sorting by ID, Name, Type, Status, or Project in ascending or descending order. Sorting continues to work alongside search and label filters, and the selected sort preference persists when navigating away or reopening the app.
- Phase Selection for Forms: Mobile forms now support Phase as a Choose One or More data source. Phase selections are single-select, display only phases associated with the selected project, and automatically filter the Cost Code dropdown based on the selected phase.
- Project-Specific Cost Codes in Material and Equipment Tables: Mobile Material and Equipment tables now respect Cost Code columns linked to a Project dropdown, allowing users to select from the applicable project-specific Cost Codes while maintaining the appropriate Material, Quantity Tracking, Equipment, or Labour category restrictions.
- Default Filters for Customer, User, and Vendor Fields: Mobile forms now respect Default Filters configured for supported Customer, User, and Vendor Choose One or More fields, automatically applying the configured label filters when the field is opened.
- Configurable Board Card Conflict Searches: Mobile users can now refine Board Card conflict searches when the applicable Create Board Card workflow setting is enabled. Users can adjust search conditions, review matching cards, reopen their customized search during the same interaction, and return to the standard conflict-detection state when the custom search is closed.
- Filter User Fields Using User Labels: Mobile User Choose One or More fields now respect preconfigured User Label filters, including applicable Role restrictions. The same behaviour is supported in custom User columns within Time Entry tables.
- Skip Weekends for Next-Day Shift Defaults: Mobile Field Schedule and Shift Tables now respect the new Skip Weekends option for Next Day shift defaults. When enabled, shifts created on Friday, Saturday, or Sunday automatically default to Monday.

Update 5.0.1 expands Ontraccr’s flexibility across project costing, forms, exports, scheduling, workflows, integrations, and account administration.
Project teams gain more control over Labour and Equipment costs, project-specific Cost Codes, budget imports, Master Global Cost Code templates, and project numbering. Custom Exports receive significant upgrades with per-column searching, subtotals, and Time Tracking Grid support, while Form Templates now include version history, previews, and restore functionality.
Scheduling and workflow automation are also enhanced with shift-conflict indicators, Event reminders, date-driven scheduled emails, configurable Board Card conflict searches, Gantt date-range headers, persistent Project Card sorting, and weekend-aware shift defaults. Expanded field filtering, QBO address syncing, bulk database actions, External Form attachments, and workflow reliability improvements round out the release.
Together, these updates give teams more control over how operational data is configured, searched, scheduled, costed, synchronized, and maintained across the Ontraccr web and mobile apps.
