# Update 5.0.2

## 🚀 Update 5.0.2 – Release Notes

To ensure optimal performance and reliability, Ontraccr recommends using the latest version of Android or iOS on all mobile devices. Our applications are tested against the most recent operating system versions, and support for older versions is not guaranteed. Devices unable to run current OS versions may experience degraded performance or functionality.

We’re excited to announce Update 5.0.2 of the Ontraccr web and mobile apps!

This major release introduces a **completely redesigned Forms experience across both Web and Mobile**, making it easier than ever to access forms, manage approvals, track submissions, and navigate daily workflows.

Beyond the Forms redesign, this release delivers major new capabilities for **Project-Specific Material Rates and Multi-Division Forms**, giving teams greater flexibility in managing project costs, materials, and operational processes across multiple divisions.

Teams also gain new options for form calculations, material pricing, scheduling attachments, time tracking, PDF exports, workflow automation, and QuickBooks Online synchronization. Mobile users benefit from redesigned pages, improved project sorting, team-based time entry capabilities, and additional enhancements throughout the app.

Together, these improvements make Ontraccr more intuitive, flexible, and efficient for teams managing their projects and day-to-day operations.

Below is the complete list of enhancements, improvements, and fixes.

## 🧭 New Features & Enhancements — Web App

### Completely Redesigned Forms Experience

Managing Forms in Ontraccr just got a whole lot easier!

Update 5.0.2 introduces a **completely redesigned Forms Module**, bringing a fresh, streamlined experience to one of Ontraccr’s most powerful features.

The redesigned Forms page provides a centralized starting point for creating forms, reviewing submissions, managing approvals, and accessing important form-related activities. Rather than navigating between several separate sections, users can now access their most important Forms tools and information from a single, organized landing page.

Whether you're approving timesheets, completing assigned forms, reviewing drafts, or managing automated workflows, the new experience is designed to make everyday tasks easier to find and manage.

**What’s New**

- **A New Forms Landing Page:** Access a redesigned Forms dashboard that brings essential information, shortcuts, and commonly used actions together in one place.
- **At-a-Glance Form Activity:** New shortcut cards display counts for forms awaiting approval, assigned forms, drafts, recent submissions, and the Form Log, allowing users to quickly identify what requires attention.
- **Faster Form Approvals:** Review forms awaiting your approval directly from the landing page, with convenient options to approve, reject, or open the full list.
- **Dedicated Drafts and Submitted Views:** Quickly access in-progress forms and recently submitted forms without manually navigating through the existing Form Log or assigned forms.
- **Simplified Form Creation:** Start new forms directly from the landing page, with convenient access to Favourite, Project, and Global forms.
- **A More Intuitive Workflow Management Experience:** The previous Templates section has been renamed **Workflows** and is accessible through the new **Automate workflows** option, making it easier to find where forms and their associated automation are configured.
- **All Your Existing Functionality, Reorganized:** Form templates, submissions, approvals, assignments, imports, and existing workflows remain available. The redesign introduces a more organized experience without removing the functionality teams already rely on.

The new Forms experience is designed to help teams spend less time navigating and more time getting work done.

### Project-Specific Material Rates

Take greater control over material pricing and job costing with **Project-Specific Material Rates**.

Update 5.0.2 introduces a new **Materials tab within Project profiles**, allowing teams to maintain project-specific materials, costs, billing rates, and markups without relying exclusively on their global Materials database.

This enhancement gives project managers greater flexibility when the same material needs different pricing or costing information across different projects.

Instead of changing global material information to accommodate a particular job, teams can maintain the applicable material details and rates directly within the project.

**What’s New**

- **New Project Materials Tab:** Project profiles now support a dedicated Materials tab where users can view, add, edit, and manage materials associated with that project. The tab can also be hidden through Project customization settings.
- **Add Existing or Custom Materials:** Users can bring materials into a project from the global Materials database or create new project-specific materials with their own information and rates.
- **Project-Specific Pricing:** Configure material costs, billing rates, Labour-related pricing, markups, units, and other supported material information independently for each project.
- **Project-Specific Cost Codes:** Materials can be associated with applicable project Cost Codes, including phased and unphased Cost Codes where supported.
- **Customizable Materials Tables:** The Project Materials list supports configurable columns, with display preferences maintained separately from the global Materials table.
- **Integration with Form Material Tables:** Form users can select materials from either the associated project's Materials list or the global Materials database. Project materials automatically populate the Form Table with their applicable project-specific information.
- **Automatic Updates When Changing Projects:** When a Form's selected project changes, applicable material information and rates update to reflect the newly selected project, while materials unavailable for that project are handled according to the supported project-matching behaviour.
- **Project-Specific Job Costing:** Update Cost workflows support project-specific materials, allowing their applicable project costs to flow into Cost Tracking rather than using the corresponding global material rates.

This enhancement gives teams greater control over material costing and billing, particularly when pricing varies between jobs, customers, or project requirements.

### Multi-Division Forms

Managing processes across multiple divisions just became more flexible with the introduction of **Multi-Division Forms**.

Previously, Form Templates were associated with a single division. With Update 5.0.2, Form builders can now configure a single Form Template for use across multiple divisions, allowing teams to standardize operational processes without maintaining separate versions of the same form for each division.

This enhancement is particularly valuable for companies managing crews, equipment, projects, and time tracking across multiple operational divisions.

**What’s New**

- **Multi-Division Form Templates:** Administrators can now associate a Form Template with multiple divisions instead of restricting it to a single division.
- **Expanded Project and User Selection:** Supported Project and User fields can work with the divisions associated with the Form Template, while respecting the user's applicable division access.
- **Division Selection in Time Entry Tables:** Multi-Division Forms support an editable Division column, allowing users to create Time Entries for different divisions within the same table.
- **Division-Specific Time Entry Information:** Selecting a division determines the applicable Project, Phase, Cost Code, and Time Card custom fields. Changing divisions resets incompatible information from the previous selection.
- **Expanded Equipment and Table Support:** Supported Equipment Tables and other applicable form fields can be used within Multi-Division Form configurations.
- **Multi-Division Workflow Automation:** Supported workflows include Approvals, Edit steps, Email and In-App Notifications, Update Equipment, Create/Update Time Entries, Update Cost, logical conditions, and Purchase Order creation through Sage Intacct.
- **Division-Specific Time Entry Mappings:** Create/Update Time Entry workflows support configuring the appropriate mappings for different divisions.
- **Flexible Form Configuration:** Form builders can create or edit both single-division and multi-division templates. When changing configurations, Ontraccr identifies incompatible fields or workflows that must be resolved before saving.

Existing single-division Forms continue to work as before, ensuring teams can adopt Multi-Division Forms where needed without changing their established workflows.

## ⚙️ Web App Improvements & Fixes

- **Visual Gantt Schedule PDF Exports:** Gantt Scheduling now supports exporting the visual Gantt Chart directly into a PDF, including its timeline, tasks, and applicable dependencies, rather than being limited to a list-based export. Users can choose between Gantt View and List View, with Gantt View selected by default. Gantt exports use landscape orientation and reflect the selected timeline position and zoom level, while List View retains its existing portrait format. Column selection, export previews, and applicable company images remain supported.
- **User Names in Time Card Notifications:** Time Card submission notifications now identify the user responsible for the activity instead of displaying only a generic submission message. This improvement helps supervisors and administrators quickly identify whose Time Cards have been submitted or updated, including supported Clock In, Add Note, and Manual Entry activities, without having to manually review multiple records.
- **Division-Based Filtering for Payables:** The Payables page now respects the divisions selected in the application's sidebar. Invoices are filtered by their associated divisions, while Purchase Orders and Sub-Contracts are filtered according to the divisions associated with their Form Templates. When multiple divisions are selected, records belonging to any selected division are displayed.
- **Configurable Signer Names in External Signature PDFs:** V3 Form builders can now configure whether the Name column in PDF signature tables displays an external signer's full name or email address when using the Collect External Signature workflow through DocuSign. Email remains the default. When Name is selected, signers are prompted to provide their name during the signing process. The setting supports applicable Standard and Custom PDFs, including multiple external signatures.
- **Improved Time Tracking Grid Hour Redistribution:** The Time Tracking Grid now includes an enhanced interface for reviewing and redistributing unassigned hours. Users can navigate between Users and Equipment, review hour summaries, add applicable project Cost Codes, redistribute hours, and reset changes when needed. A submission review also identifies Users or Equipment with remaining unassigned or overrun hours, helping teams identify discrepancies before finalizing their entries.
- **Custom Dropdown Values in Form Calculations:** Calculation fields and Form Table calculation columns can now reference numeric values selected from custom Choose One or More dropdown fields. Numeric options containing formatting characters, such as `$5` or `5%`, are interpreted as the number `5`. When multiple options are selected, the first value is used. Empty or non-numeric selections preserve the previous calculation result. Supported calculations also carry through to applicable Board Card workflows.
- **Whole-Number Rounding for Form Calculations:** Form builders can now enable **Round to Whole Number** for Calculation fields and Form Table calculation columns. Available options include Round Up and Round Down, with Round Up selected by default when enabled. Rounded results are saved with the form, used by subsequent calculations, and supported in generated PDFs and applicable Board Card workflows. This is particularly useful for material ordering and other calculations requiring whole-unit quantities.
- **Automatic Cost Code and File Templates for QuickBooks Online Projects:** QuickBooks Online integration settings now allow administrators to select Cost Code and File Templates that are automatically applied when new Projects are created through supported QuickBooks synchronization and import processes. Template selection respects the divisions associated with the integration. Supported synchronization methods include imports, webhooks, and periodic syncing, allowing new Projects to receive their applicable Cost Codes, Phases, and folder structures automatically.
- **Saved Board Sorting Preferences:** Boards now remember each user's selected sorting preferences independently for each Board. Saved sorting options are automatically reapplied when users navigate away, switch Boards, refresh the page, or reopen the application. Date/Time sorting also retains the selected date field, eliminating the need to repeatedly configure the same sorting preferences.
- **Access Time Cards for Archived Employees:** Authorized users can now view and manage historical Time Cards belonging to archived employees without temporarily reactivating their profiles. Team Cards supports filtering by Active and Archived status alongside existing Team filters. Archived employees are identified with status indicators in individual and Summary views, and their Time Cards can be included in Excel and PDF exports. Existing Time Card permissions continue to apply.
- **Custom Date Columns for Form Tables:** Form builders can now add custom Date columns to supported Form Tables alongside existing Text columns. Date columns support calendar selection and an optional **Link Date** setting that automatically populates new rows using either the current date or a linked Date/Time field elsewhere in the form. Users can override or clear preloaded dates, and saved values remain available when completed forms are reopened.
- **Configurable Date Added for Material Table Mappings:** Material Table mappings now include a **Reset Date Added** option, allowing Form builders to control whether mapped materials retain their original Date Added value or use the form submission date. The setting is supported when mapping Board Card data into Forms and through applicable Create Board Card, Update Board Card, and Form Trigger workflows.
- **Direct Form Access from Cost Tracking History:** Cost Tracking history now provides direct access to the original Form responsible for supported Cost Code updates. Users can open the associated Form in read-only mode for updates generated through Update Cost and Create Time Entry workflow steps. Access respects existing Form permissions and supports applicable historical records, making it easier to trace project costs back to their source submissions.
- **Attachment Uploads in Shift Tables:** Shift Tables now support Attachment columns, allowing users to upload and associate files with individual shifts directly within Forms. Attachments remain available when reopening shifts or saved Form drafts. When a linked Dispatch workflow creates shifts from the submitted Form, the associated attachments are carried into the created shifts.
- **Manual Material Pricing and Automatic Markup Calculations:** Material Price and Labour Price fields are now editable when creating or updating materials. Changing a selling price automatically recalculates the corresponding Markup %, while changes to Cost or Markup % continue to update the calculated Price. Underlying material costs are preserved when prices are manually adjusted. This functionality is also supported for project-specific materials, with calculated markups supporting up to five decimal places.
- **Time Entry Conflict Warnings During Form Approval:** Approvers can now identify conflicting Time Entries directly within Forms awaiting approval when the associated Create Time Entry workflow has Prevent Duplicates enabled. Affected rows display warning indicators that provide details about existing conflicting entries. Approvers can also open the relevant employee's Time Card and timeline in read-only mode to investigate the conflict before completing the approval process.
- **Automatic Layout Adjustments for Hidden Fields in Custom PDFs:** V3 Custom PDFs now automatically reposition applicable content when fields or tables are hidden using **Hide in PDF if Empty**. When an entire row becomes empty, content below it moves upward to eliminate unnecessary blank space. The improvement also supports applicable repeatable sections while preserving the layout when other visible fields remain in the same row.
- **Pending Approval Indicators for Board Card Text Fields:** Board Cards now visually distinguish text updates awaiting Form approval from approved content. Pending text appears in a greyed-out style below existing content, with separate indicators for different pending Form submissions. Users can identify the source Form through a tooltip, and supported timestamped entries display the appropriate date information once the associated workflow is approved and executed.
- **Expanded Form Field Variables for In-App Notifications:** The Notify in App workflow step now supports additional Form field types as variables within custom notification messages. Users can include values from Text Input, Choose One or More, Attribute, Static Text, and Date/Time fields, allowing notifications to incorporate more relevant information from submitted Forms. Configured notifications also populate correctly when Forms are submitted through Mobile.
- **Google Maps Directions from Addresses and Locations:** Supported addresses and locations throughout the Web App can now be opened directly in Google Maps through clickable links. This includes applicable Project, Customer, Vendor, User, Client Portal, and Form Attribute addresses, along with supported GPS coordinates and map locations. Links open in a new browser tab when viewing records, providing quicker access to directions without manually copying addresses.
- **Submission Dates in Form PDFs:** Generated Form PDFs now use the Form's submission date instead of its original creation date. This applies to V2 and V3 Forms, including supported Standard and Custom PDFs and PDF/Email workflow outputs. Resubmitted Forms reflect their latest submission date, while Forms that have not yet been submitted continue using their applicable creation or preview date.
- **City Field for Project Profiles and Filtering:** Project profiles now include an optional City field that can be used to organize and locate projects. Users can search Projects by City, display City as a column in the Projects list, and reference City through Project Attributes in Forms, Board Cards, and Time Cards. City Attributes also support applicable Board filtering and Advanced Search functionality.
- **Alphabetical Sorting for Board Bucket Filters:** Bucket dropdown filters within Boards now display their available options alphabetically from A–Z, making it easier to locate and select the appropriate Bucket. Existing sorting behaviour for other dropdown filter types remains unchanged.
