# Board Permissions in Ontraccr (Roles & Access Control)

## **🔐 Board-Level Roles, Permissions & Form Access in Ontraccr**  
 

### **Overview**

Ontraccr allows you to control **who can view, edit, and manage each board**, and who can access **forms** within those boards. These permissions can be role-based, user-specific, or division-specific — giving you full control over **visibility and collaboration**.

## **🎯 Why Use Board-Level Permissions?**

Use these features to:

-   Restrict sensitive boards (e.g., HR, Estimating, Safety)
-   Allow users to **view only their assigned cards**
-   Control who can submit forms tied to a board
-   Give **admin roles** the ability to create, edit, or delete boards

## **🧩 Types of Board Permissions**

### 📘 Board Access Permissions

You can assign users one of several access levels:

| Permission Level | Description |
| --- | --- |
| **View All Boards** | Can view every board they have permission for, regardless of assignment |
| **View Own Boards Only** | Can only see boards they are assigned to (based on board or division access) |
| **Manage Boards** | Can create, edit, or delete boards (typically reserved for admins) |

### 🧾 Form Access from Boards

The **Form tab** (on board cards) is only visible to users who have:

1.  **Permission to view or submit the form**
2.  **Access to that board and card**

✅ If a user doesn’t see the form icon, they’re missing **form permissions**, **board access**, or both.

## **🧩 How to Set Board-Level Permissions**

1.  Go to **Settings > Roles & Permissions**
2.  Select a role or create a custom one
3.  Configure:
    -   **Board access level** (View All, View Own, Manage)
    -   **Form permissions** (View, Submit, Manage)
4.  Assign the role to users via the **Users module**

## **🧠 Tips & Edge Cases**

-   Form access is controlled **independently of board access** — both must be granted
-   Use “View Own Boards Only” for **tight data security** in large orgs
-   Combine with **card assignment filters** to restrict what users see
-   Admins should have **Manage Boards + Manage Forms** to configure workflows end-to-end
